New job - Team Assistant

The INTERACT Programme Secretariat, based in Bratislava (Slovak Republic), is looking for a Team Assistant (full-time). Application deadline: 31.01.2012.

 

Role:
The team assistant ensures smooth working conditions within the INTERACT Programme Secretariat as the person responsible for general administration and day-to-day operations and providing/organising all internal and external secretarial services to all INTERACT Secretariat staff members.

Key Tasks:
• Coordinating administrative functions and duties within the office for the IS
• Processing of administrative documents in collaboration with the Programme and Finance Manager and Head of Secretariat, and submitting them to BSGR departments in charge for further processing
• Coordinating the processing of purchase orders, market researches, etc. according to institutional and national public procurement rules and regulations and submitting them to the persons in charge for signature
• Collecting monthly time-sheets from IS staff and other external collaborators (e.g. with labour agreements), submit to Head of secretariat for signature and subsequently to MA/BSGR for further processing
• Making travel arrangements for IS staff (tickets booking, accommodation etc)
• Document management and filing including registering documents and papers received
• General assistance with event organisation, including delegate registrations
• Scheduling appointments and arranging meetings as needed
• Assisting with the preparation, formatting and issue of documents
• Note taking at meetings and providing draft minutes as needed
• Managing the INTERACT general e-mail account
• Acting as first point of contact to the INTERACT Secretariat
• To report to the Head of the Secretariat progress and results in all his/her specific area of responsibility

Requirements:
Essential:
• University degree or Bachelor’s degree in a field relevant to the position (e.g. administration);
• At least 2 years work experience in the field of office management;
• Good command of Slovak and English (written and spoken);
• Good computer skills and experience in internet communication management;
• Be a national of a Member State of the European Union.

Advantage:
• Experience in working in small teams in a national and/or international organisation;
• Knowledge of EU structural funds policies and/or EU-funded programmes;
• Experience with the public sector/administration;
• Fluent in other EU-language(s).

Terms and conditions for employment / contracting period:
• The Bratislava Self Governing Region will offer the successful candidate a long-term employment contract under Slovak Law.
• Start date will be in March 2012.
• The contract will run until the end of December 2015.

THE INTERACT II PROGRAMME
The INTERACT II Programme 2007-2013 is part of the Structural Funds, European Regional Development Funds, Objective 3 ‘European Territorial Cooperation’. INTERACT is about good governance, with specific regard to the complexity of European Territorial Cooperation programmes.

INTERACT II is designed to capitalise on the significant pools of expertise in the fields of regional development in particular under cross-border, transnational, and interregional cooperation and network programmes, accumulated in the framework of previous INTERREG and current cooperation periods in the EU Member States. The ultimate purpose of INTERACT II is to provide support to the authorities and bodies in charge of the management of European Territorial Cooperation programmes. INTERACT II also provides guidance to cooperation programmes with candidate and potential candidate countries (IPA) and along the EU external border (INTERACT ENPI).

A regionally focused approach allows INTERACT to work more closely with programmes, addressing them via the four INTERACT Points located in Turku, Valencia, Viborg, and Vienna. The INTERACT Programme Secretariat (IS) performs horizontal tasks by leading the efforts of the programme in communications, knowledge management and quality assurance. It is also responsible for managing the relationships with other Interregional and network programmes (ESPON, URBACT, INTERREG IVC) and National Contact Persons, as well as undertaking Technical Assistance functions. The Managing Authority of the Programme (MA) is based at the Bratislava Self Governing Region (BSGR).
